INFORMATION NOTICE FOR EMPLOYEE CANDIDATES REGARDING THE PROCESSING OF YOUR PERSONAL DATA
Dear Employee Candidate, This information notice has been prepared by Reform Spor Sistemleri Sanayi Ve Ticaret Anonim Şirketi, acting in the capacity of data controller, pursuant to Article 10 of the Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Principles and Procedures to be Followed in Fulfilling the Obligation to Inform. The purpose of this notice is to inform you about the purposes of processing your personal data, the legal reasons, methods of collection, possible recipients of the data, and your rights under the KVKK.
We do not have absolute control over the information you provide in your CV or through the websites that enable you to reach us. We recommend that you do not share with us any personal or sensitive personal data that you do not wish us to know.
1. WHAT PERSONAL DATA DO WE PROCESS?
- Your name, surname, date and place of birth, gender, marital status, nationality;
- Your e-mail address, postal address, mobile phone number;
- If included in your CV, health-related data (e.g., disability status);
- Your educational background, certificates and diplomas, areas of expertise, foreign language skills, talents, seminar and course attendance, computer skills, exam results;
- Your professional experience (e.g., previously worked industries, companies, positions, responsibilities, salary received);
- Your photograph;
- Your driver’s license details;
- Your hobbies;
- Your salary expectations;
- Your military service status;
- Your reference information (full name, title, workplace, contact details of the reference);
- Any other information you voluntarily include in your CV that we may not foresee.
All of the above will be processed in accordance with the KVKK.
In the event your job application is not approved, your data may be retained for up to 1 year; if approved, it may be stored for up to 10 years following your departure from employment by Reform Spor Sistemleri Sanayi Ve Ticaret Anonim Şirketi.
2. FOR WHAT PURPOSES DO WE PROCESS YOUR PERSONAL DATA?
Your personal data listed above is processed for the following purposes related to the performance of this Employment Service Agreement:
- Managing your job application process,
- Being able to contact you,
- Determining whether you have the qualifications for the position offered to you,
- Contacting references to assess your suitability for the job,
- Determining the position you wish to apply for, your salary expectations, whether you can work in other positions, and your availability to start,
- Determining your ability to drive company vehicles if needed,
- Assessing your age suitability for the offered position and ensuring compliance with the Regulation on the Employment of Children and Young Workers,
- Helping our Human Resources team easily recall you during the interview process,
- Facilitating communication with the candidate and, if accepted, preparing a personnel file,
- Determining if there are any potential obstacles to continuous employment and ensuring compliance with Article 75 of the Military Penal Code No. 1632.
3. HOW DO WE PROCESS YOUR PERSONAL DATA AND ON WHAT LEGAL BASIS?
Your personal data is processed, based on your explicit consent, in accordance with Article 5 of the Law, under the following legal grounds:
(i) “processing is necessary for the data controller to fulfill its legal obligation”,
(ii) “processing is necessary for the legitimate interests of the data controller, provided that it does not violate the fundamental rights and freedoms of the data subject”, and
(iii) “processing is necessary for the establishment or performance of a contract to which the data subject is party”.
Data is processed via automated means (e.g., when submitted via online systems) or non-automated means (e.g., information noted during a phone call).
4. TO WHOM AND FOR WHAT PURPOSES DO WE TRANSFER YOUR PERSONAL DATA?
Your personal data may be transferred to our group companies, based on your explicit consent, for the purposes of carrying out human resources processes and evaluating your application for potential employment in our other group companies. It may also be shared with judicial authorities or relevant law enforcement agencies in the event of legal disputes or as required by applicable legislation.
5. WHAT ARE YOUR RIGHTS REGARDING PERSONAL DATA AND HOW CAN YOU EXERCISE THEM?
You may submit your requests concerning your rights stated in Article 11 of the KVKK to Reform Spor Sistemleri Sanayi Ve Ticaret Anonim Şirketi in writing or via registered electronic mail (KEP), secure electronic signature, mobile signature, or by using the email address previously provided to and recorded in the data controller’s system, in accordance with Article 5 of the “Communiqué on the Procedures and Principles of Application to the Data Controller”.
